Managing Shifts

Creating shifts is quick and easy:

  1. Click "Add Shift" from your dashboard or calendar
  2. Select the workplace
  3. Choose the shift date and times
  4. Select the shift type (day, night, weekend)
  5. Add any notes (optional)
  6. Click "Save"

Pro Tip: Create shift templates for recurring shifts to save time!

PLANNED — Shifts you've scheduled but haven't worked yet. You can edit or delete these freely.

CONFIRMED — Shifts you've completed and confirmed. Earnings are locked in and counted in your reports.

Once a shift is confirmed, it cannot be edited to maintain accurate earnings records.

Shift templates help you quickly create recurring shifts:

  1. Go to the "Templates" section
  2. Click "Create Template"
  3. Set your default shift details (workplace, times, type)
  4. Save the template with a descriptive name
  5. When creating a shift, select "Use Template" and pick your saved template

Perfect for weekly recurring shifts at the same workplace! Templates can also be restricted to specific days of the week, and support flexible-duration shifts (a range of hours instead of a fixed length) — both are used automatically by the Week Optimizer when recommending shifts.

Yes! Use the Bulk Shift Creation feature:

  1. Go to "Shifts" → "Bulk Create"
  2. Select your workplace and shift type
  3. Set the date range (start and end date)
  4. Choose which days of the week to create shifts
  5. Set the shift times
  6. Click "Create Shifts"

Great for creating a whole month's worth of shifts in seconds! Free plan accounts are limited to 15 shifts per month in total, including bulk-created ones.

The Week Optimizer picks the best combination of shifts for a given week from your Shift Templates — across every workplace you can work at, including agency-managed ones.

It maximizes your net (after-tax) earnings, respects your commitments, rest time, minimum sleep, and travel time between workplaces, and shows you a "Week at a Glance" preview — including your existing commitments — before you accept anything.

Add a Shift Template for each workplace you work at first, then head to the Week Optimizer, set your target and constraints, and review what it recommends.

On Add Shift, pick the workplace, then either:

  • tap one of your usual shifts there under Quick fill — the type, times, position and date are filled in; or
  • use Now next to the start or end time. The rest is worked out from your usual shift there (ending a night shift now dates it to yesterday).

Type just a start or an end time and the other is filled in the same way. Anything you type yourself is never changed.

At a workplace whose agency requires approval, a shift you add is a request: it's applied until a manager approves it, then approved, and after the shift the manager records it as attended (which locks in your pay) or missed.

At personal workplaces, and agency workplaces without approval, shifts are planned and you confirm them yourself.

A shift a manager offers you appears as an offer to accept or decline; once accepted it's approved.

Some workplaces have positions — for example Forklift driver or Picker. When you add a shift there you can choose one. A position can be paid differently: if the workplace has a pay rate for it, your shift is paid by that rate; otherwise by the workplace's usual rate.

A work limit is the most you may (or want to) work — for example a student visa's 20 hours a week. Go to Settings → Work limits and add one: per day, week or month, in hours and/or days, and optionally only between two dates (e.g. term time). Add as many as you need; each shows how much you've used.

All your shifts count, at every workplace. If a shift would go over your own limit you're asked to confirm. Your agency may also set limits: those stop shifts over them at the agency's workplaces.

You can cancel a shift that hasn't started from its page. A workplace can have a cancellation policy: cancelling is free until a number of hours before the shift; after that it's a late cancellation. It's recorded, and depending on the workplace may cost a fee or a share of the shift's pay, or have to go through your manager. The shift's page shows the policy and the deadline before you cancel.

Earnings & Reports

Earnings are calculated based on your pay rate model:

Hourly Rate: Hours Worked × Hourly Rate = Total Earnings
Example: 8 hours × $15/hour = $120

Daily Rate: Fixed amount per shift
Example: $100 per day regardless of hours

Fixed Rate: Set amount for specific shifts
Example: $250 for a weekend event

Saturday and Sunday can also have their own distinct pay rates instead of sharing a single "weekend" rate.

ShiftManager provides comprehensive reporting:

Weekly Reports — daily breakdowns and weekly totals

Monthly Reports — earnings by workplace and shift type

Yearly Reports — annual summaries and trends

All reports can be exported to CSV, or downloaded as a PDF, for your records!

Weekly targets help you stay on track with your earning goals:

  1. Go to "Targets" section
  2. Click "Set Weekly Target"
  3. Choose the week and enter your target amount
  4. Track your progress in real-time on your dashboard

Your dashboard shows progress bars and notifications when you reach your goals!

Set up split rules (e.g. 50% savings, 30% bills, 20% spending) on the standalone Budget page, and your monthly report — including the generated PDF — will show exactly how that month's earnings break down across your rules, as long as they total 100%.

Managers & Agencies

Open the workplace's manager page. Needs your action lists, from every day, the requests waiting for approval and the shifts that have started without attendance recorded. Tick the ones you want (or tick the group to select all) and press Approve selected, Attended or Missed. Anything that can't be done — e.g. over a work limit — is listed with the reason.

On the manager page, use Adjust on the worker's row: approve with different times, mark attended with the actual start and end, or correct the times of a shift already marked attended. Hours and pay follow the new times, and the change is noted on the shift.

For all of an agency's workplaces: Agency page → Agency Settings, tick or untick Shifts need approval, and save. This applies to every workplace using the agency's defaults.

For one workplace: click Change next to Approval required / No approval needed (on the workplace page, the manager page or the agency page), untick Use agency defaults and set its own rules.

When approval is turned on, shifts already planned there are sent for approval.

Use the Positions card on the manager page or the workplace page to add, rename or remove positions (a position already used is retired instead, so past shifts keep it). Shifts, demands and offers can then pick one.

To pay a position differently, add a pay rate for the workplace and choose the position. Shifts for it use that rate; everything else uses the general rate.

A demand asks for workers on a day: shift type, times, how many, and optionally a position (one demand per day, type and position). When you pick the type, the times and number of workers the workplace usually has for it are filled in. The Shift Demand Calendar shows each demand's progress and each day's approved, attended and pending shifts; click a day's shifts to open it on the manager page.

On the agency page, add Work limits for your workers — per day, week or month, in hours and/or days, optionally between two dates. A worker's shifts at every workplace count. Shifts over the limit can't be added, approved, offered or accepted at your agency's workplaces; elsewhere the worker is warned.

Open the shift (on the manager page, click the worker's name) and use Move to another worker: enter their username or email and, optionally, why. To move several, tick the same account's other shifts at that workplace (or tick the list to select them all) — they all move with the same reason.

Each shift keeps its status and times, its pay is recorded for the new worker, and the move is noted on it. A shift that would overlap one the worker already has isn't moved; the others still are, and you're told which didn't. Managers can move shifts to the workplace's workers; super admins to any account.

Every new Pro subscription starts with a 14-day free trial — cancel anytime before it ends and you won't be charged.

Business is for employers and agencies scheduling other people's shifts, not just your own. It adds an agency dashboard, worker groups, shift approvals, role management, and bulk scheduling/attendance reports on top of everything in Individual Pro.

It's billed as one flat monthly rate for your whole team — not a per-worker fee — with tiers based on active worker count: Starter (up to 20 workers, $49/mo), Growth (up to 75, $129/mo), Professional (up to 200, $299/mo), Enterprise (201+, custom).

Workers invited by an agency or employer use ShiftManager at no cost to them — see the full breakdown on the Pricing page.

Yes — upgrade, downgrade, or move between individual and agency tiers any time from Settings. Changes are prorated, and downgrading never deletes your existing data; you simply drop back to that plan's limits going forward.

If a trial ends without a payment method on file, or a renewal payment fails after a few attempts, your account automatically reverts to the Free plan. Nothing is deleted — your workplaces, shifts, and history stay exactly as they were, you'll just be back under Free plan limits until you resubscribe.
